TERMS AND CONDITIONS

These Terms and Conditions govern the provision of
services by Crownstone Legal Support and apply to
all enquiries, consultations, administrative support
services, communications, referrals, website use, and
engagements with Crownstone Legal Support.

 

1.Scope of Services

Crownstone Legal Support provides administrative, operational, documentation, organisational, and support-related services in connection with legal support matters, claim preparation, file organisation, referrals, and associated administrative processes.
Services provided may include:
• Administrative support;
• Matter and file organisation;
• Document preparation and compilation;
• Chronologies and summaries;
• Assistance with gathering supporting documentation;
• Referral coordination;
• Communication and operational support services.
Crownstone Legal Support is not a law firm unless expressly stated otherwise and does not provide legal representation or guarantee legal outcomes.
Nothing contained within communications, consultations, documentation, website content, or services provided by Crownstone Legal Support constitutes legal advice.
Clients are encouraged to obtain independent legal advice regarding their individual circumstances.

2.Fees and Invoicing

Crownstone Legal Support charges for services based on work completed, administrative time incurred, operational support provided, consultations undertaken, document preparation, communications, and associated services performed.

Invoices are generally issued monthly at the conclusion of each calendar month unless otherwise agreed.

All invoices are payable within seven (7) days from the date of issue.

Clients acknowledge and agree that failure to pay invoices within the required timeframe may result in:

  • Suspension of ongoing work;
  • Delay in progression of services;
  • Suspension of communications or file handling;
  • Refusal to continue providing support services until outstanding amounts are paid in full.

Crownstone Legal Support reserves the right to recover outstanding amounts, administrative costs, recovery expenses, and associated fees arising from unpaid invoices.

3.Suspension and Termination of Services

Crownstone Legal Support reserves the right to suspend, decline, postpone, or terminate services at any time where:

  • Invoices remain unpaid;
  • Clients fail to comply with these Terms and Conditions;
  • Communications become abusive, threatening, inappropriate, or unreasonable;
  • Required information or documentation is not provided;
  • Continued engagement is considered inappropriate or commercially unreasonable.

Termination or suspension of services does not waive any outstanding payment obligations owed by the client.

4.Cancellation and Non-Attendance

A cancellation or non-attendance fee of $60.00 may be charged where a scheduled consultation, appointment, meeting, or booking is cancelled without reasonable notice or where a client fails to attend.

This fee compensates for allocated administrative preparation, scheduling allocation, operational time, and loss of availability for other clients.

Crownstone Legal Support reserves discretion regarding enforcement or waiver of cancellation fees in appropriate circumstances.

5.Refund Policy

To the maximum extent permitted by law, fees paid to Crownstone Legal Support are non-refundable.

Clients acknowledge that services provided involve the allocation of administrative time, operational resources, scheduling, preparation, review processes, communications, and file management which commence upon engagement and are generally incapable of reversal once undertaken.

Nothing within these Terms and Conditions excludes any rights or remedies which cannot lawfully be excluded under the Australian Consumer Law.

Where concerns arise regarding invoices or charges, clients are encouraged to contact Crownstone Legal Support directly to discuss the matter through the internal complaints process.

6.Complaints Procedure

Crownstone Legal Support is committed to handling concerns and complaints professionally and reasonably.

Any concerns regarding services, invoices, communications, or administrative matters should first be directed to Crownstone Legal Support internally before escalation to external bodies or third parties.

Upon receipt of a complaint, Crownstone Legal Support will review the matter internally and attempt to resolve concerns reasonably, professionally, and in good faith.

Clients acknowledge that Crownstone Legal Support reserves the right to determine the appropriate process, response, and outcome relating to internal complaints.

7.Confidentiality

Crownstone Legal Support will take reasonable steps to maintain confidentiality regarding client information, communications, documentation, and records.

Information may be disclosed where reasonably necessary for operational purposes, referrals, administrative requirements, compliance obligations, or where required by law.

While reasonable measures are implemented to protect information, Crownstone Legal Support does not warrant or guarantee absolute confidentiality, cybersecurity protection, uninterrupted systems, or protection from unauthorised access or technological risks.

Electronic communications are undertaken at the client’s own risk.

8.Limitation of Liability

To the fullest extent permitted by law, Crownstone Legal Support excludes all liability for any direct, indirect, consequential, incidental, financial, reputational, economic, personal, or other loss arising from or connected with:

  • Use of services;
  • Reliance on information or communications;
  • Delays or interruptions;
  • Referral outcomes;
  • Third-party conduct or services;
  • Failure of matters to progress or succeed;
  • Legal or commercial outcomes;
  • Decisions made by external parties;
  • Electronic communications or technological issues;
  • Errors, omissions, or inaccuracies.

Clients acknowledge that legal matters, claims, disputes, referrals, complaints, and administrative processes involve factors beyond the control of Crownstone Legal Support.

Crownstone Legal Support does not guarantee the success, acceptance, progression, or outcome of any matter and accepts no responsibility for decisions made by courts, insurers, law firms, regulatory bodies, government agencies, third parties, or other external entities.

Clients further acknowledge that Crownstone Legal Support’s role is limited to administrative and support-related services and that all decisions relating to legal strategy, representation, litigation, settlement, or legal outcomes remain outside the control of Crownstone Legal Support.

9.Professional Standards

Crownstone Legal Support aims to conduct services professionally, ethically, and consistently with appropriate administrative and operational standards applicable within the legal support industry.

Nothing within these Terms and Conditions shall be interpreted as creating a solicitor-client relationship, fiduciary duty, or legal retainer unless expressly confirmed in writing.

10.Amendments

Crownstone Legal Support reserves the right to amend, modify, or update these Terms and Conditions at any time without prior notice.

Continued engagement with Crownstone Legal Support following any amendment constitutes acceptance of the revised Terms and Conditions.
